We are looking for a detail-oriented and proactive Accounts Payable Specialist to manage accounts payable, corporate card transactions, cash accounting, and month-end close activities for a multi-entity SaaS business.

The ideal candidate will have hands-on experience with NetSuite, spend management platforms, bank reconciliations, and general accounting processes. This role requires strong attention to detail, effective coordination with vendors and internal stakeholders, and the ability to complete financial tasks accurately within defined close deadlines.

Key Responsibilities

  • Process vendor invoices end to end, including invoice review, purchase order and contract validation, general ledger coding, and approval routing.
  • Validate vendor onboarding details, tax documentation, and banking information while maintaining accurate vendor records.
  • Resolve vendor queries, duplicate invoices, payment exceptions, and other accounts payable discrepancies.
  • Review and code corporate and virtual card transactions to the appropriate general ledger accounts, departments, and legal entities.
  • Follow up with cardholders for missing receipts, expense memos, and supporting documentation while ensuring compliance with company spending policies.
  • Reconcile corporate card, expense, and spend management clearing accounts.
  • Record bank transactions in the general ledger across US and international entities.
  • Prepare monthly bank reconciliations across multiple banks and currencies, investigate discrepancies, and clear outstanding reconciling items.
  • Process intercompany payments and coordinate intercompany funding requests.
  • Identify customer receipts in bank activity and apply payments to the correct invoices in the billing system.
  • Complete assigned month-end close activities and balance sheet reconciliations within established deadlines, ensuring supporting documentation is available for review.
  • Maintain accurate employee and vendor records in the ERP system.
  • Support external audit requirements by preparing schedules, reconciliations, and requested documentation.
  • Coordinate with the Accounting team, budget owners, and vendors to resolve issues and maintain timely transaction processing.
  • Track close activities, communicate progress, and escalate blockers or risks proactively.

What Makes You a Great Fit

  • 2–4 years of experience in accounts payable, general accounting, or a related finance function, preferably in a SaaS or technology company.
  • Hands-on experience with NetSuite and spend management platforms such as Airbase, Ramp, Brex, or similar tools.
  • Proven experience preparing bank reconciliations across multiple entities, banks, and currencies.
  • Solid understanding of accrual accounting, intercompany transactions, general ledger processes, and month-end close activities.
  • Experience processing vendor invoices, coding card expenses, and resolving payment discrepancies.
  • Strong attention to detail and commitment to maintaining accurate financial records and supporting documentation.
  • Ability to manage recurring accounting tasks, meet close deadlines consistently, and identify potential delays early.
  • Clear written and verbal communication skills for coordinating with vendors, cardholders, and internal teams.
  • Proficiency in Excel or Google Sheets for reconciliation support and financial analysis.
  • Familiarity with billing platforms such as Orb and customer cash application processes is an advantage.
  • Experience managing US and international vendor tax documentation, including 1099 forms, is desirable.
  • Previous experience supporting external audits and working in a multi-entity finance environment is a plus.
  • A proactive, organised, and collaborative approach to problem-solving and continuous process improvement.
