SUMMARY

Yondr is seeking a highly organized and detail-oriented Administrative Assistant to support the Live team across active clients, confirmed tours, and day-to-day operations. This individual will serve as an operational backbone for the Live division - keeping information accurate, clients well-serviced, and the team focused on relationships and growth. The ideal candidate is proactive, discreet, culturally engaged, and comfortable in a fast-paced Live environment.

DUTIES AND RESPONSIBILITIES

Account Support & Client Coordination

  • Provide administrative support to the Live division.

  • Assist in gathering key information required to service events, including venue details, promoter contacts, capacities, and billing data.

  • Track outstanding client requests and follow up proactively as directed.

  • Maintain organized records of client communications, deal materials, and correspondence.

  • Support onboarding of new shows and clients, including setup in internal systems.

Show & Client Data Management

  • Maintain accurate records of confirmed shows in Airtable and other internal tracking systems.

  • Update show details including dates, venues, contacts, capacities, and deal status.

  • Cross-reference public tour announcements and ticketing pages with internal records.

  • Flag discrepancies, missing information, or data gaps to the team.

  • Support the development and maintenance of the department's centralized CRM and operating system.

Billing & Ticket Count Support

  • Collect preliminary and final ticket counts from clients using standardized outreach templates.

  • Maintain billing trackers for all active Shows and ensure data accuracy.

  • Tracking log - includes but is not limited to invoicing, contracts, payment timelines, and all supporting documentation.

Contract & Documentation

  • Track and file contracts, amendments, riders, and key deal documents for all confirmed shows.

  • Ensure files are complete, properly labeled, and accessible across the team.

  • Maintain organized deal folders and reference materials.

  • Support the legal contracting by helping maintain updated templates and execution logs

Research & Quality Control

  • Verify public-facing ticketing pages for required fan communications language and accuracy.

  • Compile venue, promoter, and market research as requested.

  • Support ad hoc research projects related to active or prospective clients.

  • Monitor major music and comedy news relevant to the Shows team and flag developments affecting active relationships.

Team & Operational Support

  • Assist with scheduling, internal meeting prep, and follow-through on action items.

  • Support conference prep, travel coordination, and gifting logistics as needed.

  • Take on cross-functional and ad hoc projects to support department priorities.

  • Serve as a reliable operational resource across the full Live division.

QUALIFICATIONS

  • 2–4 years of experience in Live, live events, media, or a similar fast-paced environment.

  • Strong organizational skills and exceptional attention to detail.

  • Professional written and verbal communication skills; comfortable interacting with artist teams, promoters, and venues.

  • Experience with Airtable or similar CRM and project management tools.

  • Proficiency in Google Workspace and Microsoft Office Suite.

  • Ability to manage confidential information with discretion.

  • Proactive and reliable - able to work independently and take ownership of tasks.

  • Genuine interest in live music, comedy, and the broader Live industry.

  • International exposure or experience is a plus.

ADDITIONAL INFORMATION

  • This is a Part-Time position

  • Hours = up to 30 hrs/week

  • Pay Rate = $30/hr
