Position Summary
UniTriTeam is seeking a Finance & CTMS Systems Specialist to support Rovia Clinical Research with complex financial, data, and system-related activities within its Clinical Trial Management System (CTMS).
This role is ideal for someone who combines a strong finance or accounting foundation with excellent systems and data aptitude. The successful candidate should be comfortable working with structured data, reconciling historical financial activity, performing data imports and mapping, and learning complex system workflows.
Prior clinical research or CTMS experience is helpful but not required. We can train the right candidate on clinical research terminology and workflows. However, this is not an entry-level data-entry position. The individual must come in with strong analytical, financial, and systems skills and be comfortable independently working through complex data.
Key Responsibilities
Financial Reconciliation & CTMS Accounting
- Tie historical sponsor payments to corresponding activities, visits, and financial records within the CTMS.
- Research and reconcile discrepancies between historical payment records and CTMS activity.
- Recreate fixed-budget invoices within the CTMS based on historical financial and study information.
- Review financial data for accuracy and completeness before and after system entry or import.
- Support ongoing payment, invoicing, and reconciliation activities as needed.
CTMS Data Imports & System Configuration
- Prepare and import patient accounts into the CTMS.
- Import trial builds and assist with configuring and fine-tuning study settings.
- Import historical patient visit activity and ensure visits are appropriately associated with patients and trial builds.
- Perform data mapping and validation before imports.
- Review imported information and troubleshoot data inconsistencies or system issues.
- Maintain accuracy and data integrity across CTMS records.
Data Analysis & Quality Control
- Work with large and potentially incomplete historical datasets to determine how information should be mapped into the CTMS.
- Identify missing, duplicate, or inconsistent information and determine appropriate next steps.
- Perform reconciliation and quality-control checks to confirm that imported data matches source records.
- Document processes, mapping decisions, and exceptions to create repeatable workflows.
- Escalate discrepancies that require additional financial, operational, or clinical input.
Qualifications
Required
- Professional experience in finance, accounting, bookkeeping, financial operations, or a similar field.
- Strong experience working with systems and structured datasets.
- Experience performing financial reconciliations and investigating discrepancies.
- Strong Excel skills and comfort manipulating and validating data.
- High level of accuracy and attention to detail.
- Ability to learn new software platforms and workflows quickly.
- Strong analytical and problem-solving skills.
- Ability to work independently through complex assignments rather than relying on highly prescriptive instructions.
- Comfortable working in an environment where historical data may require investigation, interpretation, and cleanup.
Preferred
- Experience with CTMS, clinical research technology, healthcare systems, ERP/accounting platforms, or other complex operational systems.
- Experience with data imports, data mapping, migrations, or system implementations.
- Experience with accounts receivable, invoicing, payment reconciliation, or revenue accounting.
- Familiarity with clinical research site operations, sponsor payments, patient visits, or clinical trial budgets.
- Experience supporting system conversions or historical data cleanup projects.

Initial Areas of Focus
The initial priorities for this position will include:
- Tying historical sponsor payments to CTMS activity
- Recreating fixed-budget invoices within the CTMS
- Importing patient accounts
- Importing and configuring trial builds
- Importing historical patient visit activity
- Reconciling imported financial and operational data
- Identifying and resolving historical data discrepancies
- Establishing repeatable processes and documentation for future CTMS financial and data work
Success in This Role
Success will be measured by the individual's ability to quickly become proficient in Rovia's CTMS environment, independently manage increasingly complex finance and data assignments, maintain a high degree of data accuracy, and reduce the amount of manual oversight required to complete financial reconciliation and historical data migration work.
