About The Role

OpenLoop is seeking a Provider Support Specialist to join our Medical Operations team. In this role, you will answer incoming questions from our contracted provider network and make sure anything you can't resolve gets to the right internal team quickly. This non-clinical, provider-facing role exists for one purpose: to support providers operationally.

This is an entry-level role and a strong starting point for a career in healthcare operations. You will be trained on our workflows, work a defined portion of the provider support queue, and have regular check-ins with your manager as you build proficiency.

What You'll Do:

Answer routine provider questions about schedules, workflows, processes, and operational expectations using established standard operating procedures and reference materials.
Respond to inbound provider requests across Slack within established service level expectations.
Perform first-line troubleshooting for common provider platform and login issues by following documented runbooks.
Route requests requiring action by another team — including credentialing, licensing, onboarding, scheduling, same-day call-outs, IT, payroll, and clinical leadership — to the correct internal owner using documented escalation paths.
Confirm the provider received an answer or a clear next step, and close the loop on your assigned requests.
Document provider communications, questions, and resolutions accurately and consistently in the appropriate systems of record.
Work assigned priorities and shift schedules as directed, including assigned evening and weekend hours (CST).
Escalate any unfamiliar, clinical, quality, licensure, or compliance question to your manager or the designated owner rather than responding outside of scope.
Participate in scheduled OpenLoop holiday coverage to ensure uninterrupted provider support.
Other duties as assigned.

Who You Are:

0–1 years of experience in a support, service, administrative, or operations role; healthcare or telehealth exposure is a plus but not required.
High school diploma or equivalent required; Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or a related field is a plus.
Clear, professional written communication with a provider-facing, service-oriented mindset.
Strong attention to detail and consistency; able to follow documented procedures accurately.
Dependable in attendance, communication, and responsiveness.
Comfortable asking questions and escalating early rather than working outside of established procedure.
Basic proficiency with Google Workspace (Docs, Sheets, Calendar) and Slack; willingness to learn ticketing systems (e.g., Zoho Desk) and clinical platforms.
Able to handle Protected Health Information appropriately and complete HIPAA training.
